ESSENTIAL REQUIREMENTS

EDUCATION:

  • Degree majoring in Accounting or Finance, or equivalent education, training and experience;
  • Ongoing learning specifically related to knowledge of current financial and accounting computer applications (e.g. workshops, learning roundtables, networking, mentoring and other methods to remain up-to-date in the financial arena)

EXPERIENCE:

  • 5+ years of broad finance experience and making actionable recommendations to senior leadership
  • Experience managing the finance function (accounting, budgeting, control, and reporting) within a diverse, project-based entity
  • Experience with program and budget audits
  • Experience with government funding agreements preferred
  • Experience with monthly account reconciliations, preparing statements on delinquent accounts, and monitoring revenues and expenses through managing AP & AR
  • Strong understanding of planning and managing the budgetary process, as well as overseeing the preparation of reports and the collection and analysis of financial data
  • Leading and coordinating teams of data administrators and finance managers in the development and implementation of data policies, standards and models
  • Advising senior management of the company’s financial position

JOB DESCRIPTION

Reports to:  CEO

As a member of the Executive Team, the Director of Finance is an advisor to the Management Team, evaluating and assisting them with their financial plans and economic modeling. They are responsible for overseeing all fiscal and fiduciary responsibilities for the organization, in conjunction with the owners. Reporting to the Chief Executive Officer (CEO) the Director of Finance plays a critical role in developing and implementing the financial strategy for ETHOS.

The Director of Finance coordinates implementation of services, policies, and programs; serves on the Executive and Management teams; leads and coordinates the activities of the Finance Department; and assists and advises company managers regarding project budget issues.

Responsibilities:

Strategy:

  • The DOF will assess organizational performance against both the annual budget and ETHOS’ long-term strategy; develop tools and systems to provide critical financial and operational information to the CEO and make actionable recommendations on both strategy and operations· Engage the CEO around issues, trends, and changes in the operating model(s) and operational delivery; assist in establishing yearly objectives and meeting agendas, and selecting and engaging outside consultants (auditors, investment advisors)· Oversee long-term budgetary planning and costs management in alignment with ETHOS’ strategic plan, especially as the organization considers for-profit service/product delivery and collaborations with external organizations

Financial and Operational Management:

  • Oversee all accounts, ledgers, and reporting systems, ensuring compliance with appropriate Generally Accepted Accounting Principles, regulatory requirements, and audit requirements; maintain internal control safeguards and coordinate all audit activities
  • Partner with the Business Manager to investigate and recommend specialized finance IT systems that meet the needs of the organization
  • Manage cash flow and forecasting; develop a reliable cash flow projection process and reporting mechanism that includes minimum cash threshold to meet operating needs; optimize the handling of banking relationships and initiate appropriate strategies to enhance cash positions
  • Oversee budgeting and the implementation of budgets so as to monitor progress and present financial metrics both internally and externally
  • Direct financial strategy, planning and forecasts; conferring with CEO and Business Manager

Team Management:

  • Mentor and develop the finance team, manage work allocation, training, problem resolution, performance evaluation, and the building of an effective team dynamic
  • Guide larger, cross-divisional teams outside of direct span of control within the main ETHOS program areas; including, but not limited to WorkBC, BWCA, QmunityWORKS, TechWORKS, Island Ops and WorkSafeBC

Administration:

  • Monitor ETHOS organization as a whole; manage cash flow from all bank accounts and check for automated accounting system errors
  • Create and update accounting systems as needed to accommodate various program requirements, rules and regulations
  • Verify payments and sign cheques as required
  • Prepare monthly organizational costs report, prepare income statements, cash flow, and balance sheets for analysis by CEO
  • Verify completeness of statements; prepare and send annual accounting data to Corporate Accountant
  • Supervise Bi-weekly payroll and Employee benefits
  • Process annual T4’s and T4e’s and payroll summaries and distribute reports as required; prepare EI audit reports as required
  • Ensure adequate insurance coverage for all ETHOS programs and locations (contents, liability, business interruption, professional liability, etc.)
  • Pay all corporate tax and rent owing for ETHOS leased properties; bill monthly rent for sub-tenants
  • Investigate and collect outstanding Accounts Receivable
  • Balance and reconcile prepaid revenue account each period
  • Other Duties as required
